Logistics Coordinator

Major Purpose of the Job:

We are seeking a detail-oriented and proactive Internal Logistics Coordinator to manage and support the timely and accurate processing of domestic and international shipments. This role is responsible for coordinating shipping activities, ensuring compliance with regulations, maintaining shipping documentation, and working closely with internal teams, freight forwarders, and carriers to ensure efficient logistics operations.

Requirements

  • Associate or Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field preferred.
  • Minimum of 5 years of experience shipping or supply chain coordination.
  • Strong organizational and communication skills.
  • Working knowledge of Incoterms, export documentation, and U.S. customs compliance.
  • Proficient in Microsoft Office (Excel, Outlook) and ERP systems (SAP, Oracle, NetSuite, etc.).
  • Ability to multitask, prioritize, and manage time-sensitive shipments with accuracy.

Preferred Qualifications

  • Familiarity with freight forwarders, couriers (UPS, FedEx, DHL), and ocean/air carriers.
  • Knowledge of HTS codes, AES filings, and international shipping regulations.
  • Bilingual (English/Spanish or English/Portuguese) is a plus depending on trade regions
Essential Functions:
  • Coordinate all aspects of domestic and export shipments, including order scheduling, documentation, and transportation arrangements.
  • Communicate with freight carriers, brokers, and forwarders to ensure timely pickup, transit, and delivery of shipments.
  • Prepare and review shipping documents such as commercial invoices, packing lists, bills of lading, and export declarations.
  • Ensure compliance with U.S. customs regulations, export controls, and international trade requirements.
  • Work closely with internal departments including sales, warehouse, production, accounting, and customer service to align logistics activities with operational needs.
  • Track and monitor shipments and proactively resolve delays or issues.
  • Maintain accurate shipment records and update internal systems (e.g., ERP, inventory, or shipping software).
  • Coordinate with the warehouse and production teams to confirm product availability and shipment readiness.
  • Assist with freight claims, transportation audits, and cost control efforts.
